Create a text file (any program is
fine) and then catalog
your glasses using Barb Edmonson's conventions and format.
For your convenience, I've reproduced them on the previous
page.
Create a template that will allow
you to enter information on your own glasses using a standard
format. The example shown below is exhaustive -- includes
boxes for information on all kinds of subjects, many of which you
will not be able to fill in without copies of both HSG and OASG
and substantial reference material. You are not expected to
provide all of this information - just include what you can, where
you can. The only essential pieces of information are a
short title, a description of what's actually written on the
glass, and an ID#. You don't even have to provide a
photograph. Obviously, if you do have access to additional
material and don't mind taking the time to provide it, this is the
best time to do it.
Note that you don't have to use
the exact wording contained in the example below. You can
substitute any tag or other identifier in your
template - #1 for Title, #2 for label, for example. If you're compiling a catalog using a spreadsheet,
your column headings might read "Title",
"Label", "Owner", "Date",
"State", "City", "Glass",
"Label", "Size", "OA(H)SG",
"Notes", "ID", and "Photo".
Any wording is fine, just so long as you're consistent and let me know what your tags
correspond to relative to the listing shown
below.

essential. Note that I dropped the measurement of

| Database
ID#: |
Every
glass and its variant(s) will have unique ID#'s.
To assign
an ID#, pick any three letters of the alphabet (e.g. your
initials) and add a one to four digits. Maintain the same
three letters throughout your listings.
How you assign the
numbers is up to you - they could correspond to numbers in
your private database or numbers assigned sequentially as
you compile the database for the web. It's up to
you.

| Adding
a picture: |
If
you have a picture of your glasses, save it as a jpeg file
about 3" by 2" (use your photo manager to resample
an original image until it reaches the correct
size). VERY IMPORTANT:
rename the photo image with the
Database ID# assigned to the glass: for example, of the
glass is assigned the ID# XYZ123, then the photo becomes
XYZ123.jpg. If you're having problems with picture
formats, contact the glassmaster.
If the
photo has been taken from eBay or other online source, there
may be copyright issues if we decide to market the
database. Thus, while it's OK to use them online here,
note the fact that the photo is not your own original
material by prefixing BOTH the Database ID# and
ESPECIALLY the photo ID# with a dollar sign,
"$".
For example, XYZ123 and XYZ123.jpg now become
$XYZ123e and $XYZ123.jpg. That will allow us to identify such
photos and delete them prior to compiling a marketable
version of the database.
